Parts clerk

Sell ​​parts to all customers at the counter, through the workshop or over the phone.

Hold a skills card issued by the parity committee in regions which are subject to collective agreement decrees.

The main duties are listed below, but the incumbent may be assigned to other duties.

Tasks related to sales and customer service:

  • Help customers choose parts efficiently and provide high quality service to internal and external customers (retail and workshop).
  • Inform customers about accessory parts and specials.
  • Make sure the customer is aware of the full range of products.
  • Answer phone calls and / or emails, quote prices and offer any other information.
  • Adopt a strategy for inbound calls and emails aimed at selling parts and / or making an appointment.
  • Solicit regular customers by phone.
  • Administrative tasks related to orders
  • Ensure that internal parts requests are invoiced on the after-sales service repair slip.
  • Collect payments from retail customers or obtain credit authorization.
  • Ensure that all customers receive their invoice copy.
  • Provide credit for returned parts ensuring the existence of the original invoice or its number so that the purchase and price can be confirmed.
  • Maintain proper records of all repair orders, invoices, insurance quotes and special order parts.
  • Track pending orders.
  • Check, on a weekly basis, the records of orders to be picked up by or delivered to customers as well as pending orders.
  • Make sure to return to suppliers or store unrecovered items that are no longer in demand.
  • Replenish assigned stocks daily.
  • Review body shop quotes to ensure parts ordered are appropriate and prices are as quoted.
  • Organize and fill orders from stocks.
  • Organize orders for delivery to the body shop and ensure all parts are labeled with customer names and run numbers.
  • Organize orders for daily shipping, delivery or pickup.
  • Label the return of parts to be replaced as well as parts to be recycled according to the manufacturer's policies.
  • Notify the parts manager when out of stock or when immediate attention needs to be paid to shop equipment.
  • Identify out-of-stock parts from an external source and place a rush order if necessary.
  • Notify technical advisor and customer upon receipt of special order parts.

Various tasks

  • Participate in the annual parts return.
  • Help field sales representatives fill their orders.
  • Distribute and track workshop tools requisitioned by technicians.
  • Make sure counters are clean and tidy. Clean computers and printers daily.
  • Work with the parts manager to maintain a sales loss follow-up program.
  • Keep up to date with all new and updated products.
  • If necessary, assist in receiving the merchandise.
  • Participate in the cleanliness of the parts department.
  • If necessary, deliver parts to technicians.
  • Present yourself in a professional manner.
  • Perform other duties as required and directed by management.

Qualifications required:
- Skills card (C and above)
- Valid driver's license (an asset)
- Bilingual (French and English an asset)
- Knowledge of the Serti system (an asset)
